IMPORTANT TECHNICAL & LOGISTICAL INFORMATION FOR EXHIBITORS – PBS 2026

This document contains binding technical and logistical information for exhibitors of Prague Bar Show 2026. Please read it carefully and share it with all members of your team and external suppliers. Failure to comply with the rules stated below may result in financial penalties or restrictions on the operation of your exhibition space.

A. BASIC INFORMATION

Date and venue

  • Monday, March 23, 2026, from 11:00 to 20:00, Křižík Pavilions, Výstaviště Praha, Prague 7

Number of visitors

  • We expect approximately 4,000 visitors in total. Visitors will arrive and leave continuously throughout the day between 11:00 and 20:00.

B. INSTALLATION & LOGISTICS

Bar installation

  • Bar installation will take place on Sunday, March 22, 2026, from 9:00 to 20:00.
  • Each exhibitor will be assigned a specific time slot during which arrival at the pavilion is permitted.
  • Please contact Ms. Gabriela Ponert (+420 602 461 297) by February 26, 2026, to schedule your installation time slot.
  • Upon arrival at the Exhibition Grounds on Sunday, your designated space will be shown to you and must be officially taken over by your RESPONSIBLE PERSON (not only a driver or courier) against signature.
  • The exhibition area for each exhibitor will be clearly marked and the rented space size must be strictly respected.
  • All waste related to installation and dismantling must be removed by the exhibitor.

Parking and transportation

  • A designated area for loading and unloading will be available and supervised by the organizer’s staff during the agreed time slot.
  • Parking longer than the time required for unloading is not permitted in this area.
  • IMPORTANT: Upon entering the venue, a cash deposit of CZK 2,000 will be collected from each driver.
  • The deposit will be refunded if the vehicle leaves the area within 120 minutes.
  • The CZK 2,000 cash deposit applies to each vehicle entry during both installation and dismantling.
  • Please inform all staff members, including external agencies and bar personnel.
  • Paid all-day parking is available on Za Elektrárnou Street.
  • This parking is not managed by the Prague Bar Show organizer and parking spots cannot be reserved.
  • The parking area near the swimming pool is closed due to reconstruction.

Bar dismantling

  • Prague Bar Show ends at 20:00 and all bar operations must stop by this time.
  • Dismantling before 20:00 is strictly prohibited.
  • Vehicle access during dismantling will follow a detailed schedule coordinated on site on the event day.
  • Due to capacity limitations, not all vehicles can enter the venue at the same time.
  • Enter the venue with vehicles only once your exhibition space is fully packed and ready for transport.
  • Vehicle entry is again subject to a refundable CZK 2,000 cash deposit with a 120-minute time limit.
  • If the time limit is exceeded, the deposit will not be refunded.
  • All bars, equipment, and waste must be removed by 24:00.
  • After clearing the rented space, the area must be personally handed over against signature in the handover protocol.
  • Failure to comply may result in a penalty of CZK 5,000.

C. EXHIBITION OPERATION

Electricity

  • A 230V / 16A (2 kW) electrical connection is provided for all exhibition spaces.
  • Higher-capacity connections are available only if ordered in advance.
  • It is not possible to change the ordered electrical capacity on site.
  • Internal power distribution within the rented space is the exhibitor’s responsibility.

Water

  • Drinking water is available free of charge in refrigerators provided by the hydration partner.
  • Tap water in restrooms is also drinkable.

Ice

  • Ice cubes and crushed ice are available free of charge at multiple locations within the venue.
  • Approximately 2.5 tons of ice will be provided.
  • Ice will be available approximately 1 hour before the event starts.
  • The provided ice is intended for drink preparation only.
  • If larger quantities of ice are required as part of an exhibition display, the exhibitor must arrange this independently.

Glassware and washing

  • The purpose of the event is tasting, not unlimited free pouring of drinks.
  • Exhibitors are advised to adjust glass types and tasting sample sizes accordingly.
  • Glass washing services are provided only for exhibitors who ordered this service in advance.
  • Washed glassware will be returned continuously.
  • Please allow a minimum return time of 2 hours.

Debarras – waste

  • General waste removal in the pavilions is provided by staff during the event between 11:00 and 20:00.
  • This does not include waste directly at individual bars.
  • A mixed waste container will be available.
  • Liquid waste must be disposed of into your own containers, not plastic bags.
  • Disposal of ice or crushed ice into drains or around the pavilions is strictly prohibited.
  • Debarras service is provided only from designated glass return areas.
  • Debarras from tables within the rented exhibition space is not provided unless arranged in advance.
  • Waste cleanup at bars after the event is the exhibitor’s responsibility.
  • The rented space must be returned in its original condition without any waste.
  • Personal handover of the space against signature is mandatory.
  • Failure to comply may result in a CZK 5,000 fee.

Decorations

  • Attaching materials to walls, floors, or other interior surfaces is not permitted.
  • Free-standing decorations are recommended.
  • All decorations, equipment, and accessories must be placed strictly within the rented space.
  • Any damage will be charged to the exhibitor responsible for the exhibition space.

Music

  • If using TV or audio equipment at your bar or stand, please respect neighboring exhibitors.
  • Sound volume must not exceed normal speaking level.

Smoking

  • Smoking is prohibited inside pavilion areas. Smoking is permitted only outside the venue.

D. PROGRAM & CONTENT

Seminars

  • Seminars will take place in individual pavilions and their capacity will be specified later.
  • The duration of commercial brand seminars is 25 minutes.
  • All presentations are managed from central control.
  • Projection in 16:9 format and an audio system with microphone are provided.
  • The organizer does not provide tasting glassware or interpretation services.
  • A hostess will be available for assistance.
  • Materials for brand seminars must be delivered by February 20, 2026.
  • Required materials include the seminar title, speaker name, position and photo, and a brief seminar description.

Sampling and hostesses

  • Distribution of drink samples outside the rented exhibition space is not permitted.
  • Hostesses may move outside rented spaces only without drink samples or with printed materials only.

E. ORGANIZATIONAL & LEGAL

Exhibitor tickets

  • Each exhibitor is entitled to one ticket per one square meter of rented exhibition space.
  • A ticket order link will be sent by email prior to the event.

Additional exhibitor tickets

  • Discounted tickets may be purchased for clients, partners, suppliers, or employees.
  • Ticket settlement will take place after the event.
  • Detailed purchase instructions will be sent to the contact person in advance.

Staff tickets

  • Wristband-style tickets will be distributed at each bar approximately one hour before the event start, at 10:00.
  • The number of staff tickets depends on the rented space size.
  • Staff numbers must be reported no later than seven days before the event.

Visitor tickets

  • Tickets can be purchased in advance or on site on the event day, subject to capacity availability.
  • Admission includes access to seminars.
  • THE EVENT IS INTENDED FOR PROFESSIONALS ONLY AND PERSONS AGED 18 AND OVER.

Equipment security

  • Exhibitors are responsible for their bars and equipment.
  • Security will be provided during installation on Sunday.

Photography

  • The organizer will take photographs during the event for reporting and marketing purposes.
  • Guaranteed delivery of photographs of individual exhibitor bars is possible only upon prior arrangement and purchase of this service.
  • Photographs may be used for marketing purposes of Prague Bar Show and its partners.

Customs authority

  • Following the amendment of Act No. 65/2017 Coll., the notification duty for alcohol sales outside permanent premises has been abolished.

Alcohol and minors

  • Compliance with the prohibition of serving alcohol to minors is the responsibility of exhibitors.

Exhibitor liability

  • The event organizer, Linkman Media s.r.o., bears no responsibility for exhibitor activities at Prague Bar Show.
  • Exhibitors bear full responsibility for their staff, equipment, property, and legal compliance.
  • In case of violations of legal regulations or organizer instructions, the organizer reserves the right to terminate exhibitor participation without compensation.

Accommodation

  • The organizer has arranged preferential accommodation rates for exhibitors at selected hotels near the Exhibition Grounds.
  • Current accommodation offers are available on the event website in the LOCATION section.
