1. Date and place
Monday 24 March 2025 from 11 am to 8 pm. Křižík Pavilions, Výstaviště, Prague 7
2. Installation of bars
The installation of the bars will take place on Sunday 23 March 2025 from 9 am to 8 pm. Each exhibitor will have its own time slot when it can come to its pavilion. Please contact Gabriela Ponert by February 1, 2025, to schedule your arrival time slot. On Sunday, upon arrival at the Exhibition Grounds, we will show you your space, which will be taken over against signature by your RESPONSIBLE PERSON (not just a driver or messenger). The area for each exhibitor will be marked and it is necessary, to respect the size of the rented area. All waste associated with installation/de-installation must be removed.
3. Parking and transport
There will be a designated area for loading and unloading of cargo, which will be guided by the organiser's staff at a pre-arranged time slot. Parking for a longer period of time than the unloading of the cargo at this location is not possible. ! IMPORTANT ! A deposit of 2.000,- cash will be collected from each driver upon entering the site. This deposit will be refunded again if the departure time is kept within 120 minutes. Please pass this information to all staff, including outside agencies and bar staff. For all-day parking, there is a paid parking lot on Za Elektrárnou Street or in the parking lot by the Exhibition Center pool.
4. Number of visitors
In total, we expect approximately 4,000 visitors, who will arrive and leave continuously, i.e. between 11am and 8pm.
5. Seminars
Seminars will be held in individual halls and their capacity will be specified. The length of the brand seminars is 25 minutes. Projection (16:9 format) and audio sound system with microphone are available. The organiser does not provide tasting glasses/trays for any tastings or interpretation from another language. 6. Electricity
Electric socket 230V/16A - 2 KW is connected to all bars. A higher capacity connection is only brought to the bars/exhibitions of exhibitors who have ordered the connection before the event. It is not possible to change the ordered capacity of the electrical connection on site. The distribution of electricity within the area is provided by each exhibitor.
7. Glasses and washing-up
The purpose of the event is not to pour drinks for free, but to taste a samples, so it is recommended to adjust the type of glassware and the size of the tasting samples. Glass washing will be provided for exhibitors who have ordered the service prior to the event. Glasses will be returned to the bars on a rolling basis, please allow a minimum of 2 hours return time.
8. Debaras - waste
Throughout the event (between 11am and 8pm), the waste in the pavilions will be taken away by the staff (not applicable to the waste at the individual bars). A container for mixed waste will be provided and can be used. Exhibitors are requested to dispose of liquid residues in their own brought containers, not in PVC bags. Similarly, there is a ban on disposing of ice by pouring them into the toilets or outside the pavilions.
Debaras will be provided by our staff in all pavilions and only from areas designated for glass disposal. Debaras from tables located within the exhibitor's leased space is not provided, but arrangements can be made in advance to rent a collection container to debar glassware from your tables and our staff will remove it.
After the event, trash cleanup at the bars is provided by the exhibitor who has rented the space. The renter is required to return the rented space in its original condition, i.e., without any waste. Before leaving the pavilion there must be a personal transfer of the rented space. In the event that the space is not handed over, the organizer reserves the right to charge a fee of CZK 5,000.
9. Water
Drinking water is available free of charge in the fridges. Drinking water is also available in the toilets.
10. Decoration
Wall decoration is not possible in the indoor areas. We recommend using stand-alone decorations. Bonding on floors or other places in the pavilions is not possible. All decorations, equipment, accessories, etc. can only be placed within the rented space. In the event of damage, the event organiser reserves the right to charge for the cost of restoration. A fee will be charged to the company that has exhibitor space at the Prague Bar Show.
11. Music
If you will be using TV or audio equipment at your bar/booth, please respect the surrounding exhibitors. The sound reproduced must not exceed the volume of the spoken word.
12. Smoking
Smoking is not allowed in the pavilions. Smoking is only allowed outside the premises.
13. Ice
Free ice cubes and crushed ice are provided for exhibitors in the event area at several locations, a total of 3 tons is available. Ice will be available approx. 1 hour prior to the event. The ice that is available is for consumption in the preparation of samples. If you need a larger quantity of ice as part of the exhibit, you will need to secure that quantity separately.
14. Deinstallation of bars
The Prague Bar Show ends at 8 PM and all bars must be closed by this time. Disposal of bars before 8 PM is not allowed.
Vehicle access to the location will be governed by a detailed timetable (to be agreed with the organiser on site on the day of the event). Please note that due to capacity issues, it is not possible for all vehicles to arrive at the same time. Please respect others and only drive vehicles in when you have your exhibit packed and ready for transport. The entry of vehicles into the premises is again subject to a refund in cash of 2.000,- CZK and the time set for transport is again 120 min. If this time is exceeded, the fee will not be refunded.
All bars and exhibitor items must be removed by 24:00 including all trash. Once the leased area has been cleared, please contact the organiser.
15. Tickets
Tickets for exhibitors - Each exhibitor is entitled to 1 ticket per 1 m2 of rented space. These tickets will be sent to you prior to the event.
Tickets for bar staff - The "hand strips" will be distributed to each bar approximately one hour before the event starts at 10:00 AM. The number of staff tickets is based on the size of the space rented.
Discounted tickets for exhibitors over quota - Any exhibitor can take advantage of a discount on ticket purchases for clients, partners, suppliers or employees. Settlement of ordered tickets will take place after the event.
Visitor Tickets - Tickets can be purchased in advance or on the day of the event at the box office - unless the venue is at capacity. Admission includes free access to seminars.
16. Sampling and hostesses
It is not possible to hand out samples/promo materials or drinks outside the booked area. Hostesses are only allowed outside the rented space without the samples.
17. Security
The exhibitor is responsible for the bars and their equipment. On Sunday - the day of the installation - security is provided.
18. Photo
The organiser will take photographs during the event for its own reporting purposes. Guaranteeing the provision of photographs to individual exhibitors from their bars is only possible by prior arrangement and ordering this service for a fee from the organiser in advance.
19. Customs Office
Each exhibitor is required to self-report the distribution of alcohol, at least 5 working days prior to the event, even if it is not a sale but just sampling. The form can be found here. The notification can also be submitted via data box or in person at the office of the Customs Office for the Capital City of Prague. It is recommended to have a copy of the invoice for the alcohol on the stand.
20. Serving alcohol to minors
It is the responsibility of exhibitors to comply with the prohibition of serving alcoholic beverages to minors.
21. Accommodation
The organizer of the event has arranged preferential conditions for exhibitors dealing with accommodation in some accommodation facilities near the Exhibition Centre. 22. Responsibility for the exhibitor's activities
The event organiser, Linkman Media s.r.o., accepts no responsibility for the activities of the exhibitors at the Prague Bar Show. In particular, the organizer is not responsible for the exhibitor's employees or persons authorized by the exhibitor, nor for the exhibitor's property or other assets brought into the space in which the event is held. The Exhibitor bears exclusively all liability associated with its participation in the event and undertakes to respect and comply with all provisions of the applicable regulations, especially in the area of distribution and serving of alcoholic beverages. In the event of any violation of applicable laws, event instructions or the organizer's instructions, the organizer has the right to terminate the exhibitor's participation in the Prague Bar Show without compensation.
